Atlassian is rolling out a new feature for Jira called Action Items, coming at the end of November. With Action Items, you can keep track of smaller tasks right inside your issues, so there’s no need to create subtasks for quick to-dos.

This feature is great for follow-ups, checklists, or quick team collaborations. You can add Action Items easily in the description or comments by typing /action item or [ ]. It’s a simple way to stay organized without overcomplicating your workflow.

If you are unsure whether to use action items or Subtasks, here is a quick guide for you.

When to Use Action Items

Action Items are perfect for lightweight, quick-to-manage tasks that don’t need the complexity of subtasks. Use them when:

  • The task is small and informal: Perfect for quick reminders, follow-ups, or a simple to-do list.

  • No extra details are needed: The task doesn’t require its own description, assignee, or due date.

  • You’re working directly in an issue: They’re great for jotting down tasks in the description or comments while collaborating in real time.

  • You want simplicity: Action Items keep your Jira board and backlog clean, without cluttering it with extra tickets.

Examples

A checklist for QA testing:

☑ Test in Chrome
☑ Test in Safari

To-dos for wrapping up an epic:

☑ Write release notes
☑ Archive outdated documentation

When to Use Subtasks

Subtasks are ideal for more complex work that needs to be tracked or managed independently. Use them when:

  • The task requires tracking: Subtasks allow for status updates, time tracking, and progress visibility.

  • The task involves multiple people: Subtasks can be assigned to specific team members for better accountability.

  • You need more context: If the task needs its own description, attachments, or discussion thread.

  • You want to report on progress: Subtasks show up in reports, sprint burndowns, and issue hierarchies, making them great for visibility.

Examples

Breaking down a feature into specific development tasks:

☑ Build API
☑ Design UI
